General Summary:
Reporting directly to the Supervisor, Health Information Management (HIM) and under the general direction of the Manager, Health Information Management, the Document Imaging Analyst assists with the daily functions of the departments scanning operations. The individual works collaboratively with various members of the HIM team to accurately and efficiently process, analyze, prepare, scan and patient medical record information in support of the hospital's mission to deliver the very best health care to the diverse communities we serve.
Principal Duties and Responsibilities:
Processes, prepares, sorts and scans medical record documents into clinical systems within specified time frames while meeting productivity & error rate expectations.
Analyzes the patient health record to identify misfiled documents, making certain all documentation scanned belongs in the appropriate medical record.
Performs Document Separation on faxed batches to ensure all documents are split accurately.
Prepares batches of documents including attaching document type and patient labels for scanning into the electronic document management system.
Scans and monitors the scanning process for misfed documents. Addresses and reports problems in a timely manner to the management team.
Maintains scanning hardware by performing daily cleaning.
Performs daily maintenance on scanning hardware and escalates any issues when necessary.
Assists with storage of scanned documentation and eventual destruction.
Attends required trainings to keep up to date with the latest information systems and imaging functionality.
Delivers and retrieves medical records to/from designated locations within the hospital to facilitate timely scanning of the paper documents into the legal health record.
Expected to assist with occasional coverage of off-hours, weekends or holidays.
Assists the Central Record Control Center in regards to tracking and distributing paper charts ordered from off-site storage for individuals, auditors and research requestors. Facilitates the return of the paper charts back to off-site storage.
Perform related duties as assigned by supervisor.

High School diploma or equivalent.
Previous work in a healthcare area is preferred.
1 year machine operator experience preferred. Digital/electronic document imaging experience preferred.
Skills/Abilities/Competencies Required:
Organized, detail oriented, and work well in time sensitive situations.
Possesses excellent oral and written communication skills. Strong customer service skills.
Basic computer skills necessary to become proficient in the use of different information systems.
Established as a positive team player, able to work independently and in a group/team setting.
Ability to perform repetitive tasks for extended periods of time while maintaining a high level of concentration.
Working Conditions:
Requires standing and walking which includes pushing carts to pick up record about 20% of the time. Ability to regularly lift, push, pull or carry boxes or carts (up to 20 pounds).
Must be comfortable engaging in business in a clinical setting.
Usual office environment including high speed or desktop scanners.
A collaborative team environment where everyone is willing to assist.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
